Documents/Procedures to be Submitted to the Outgoing Student Unit by All Students (with/without Funding)
A) BEFORE MOBILITY
1- Application Form
This is a copy of the application form sent to the host university – or completed online – to obtain an acceptance letter. The attached file is an example from our university.
2- Acceptance Letter
The acceptance letter must be signed/stamped and include the student's name and the start/end dates of the mobility period. For processing purposes at our office, a photocopy or internet printout of the document is acceptable. However, it should be noted that consulates generally require a letter of acceptance with a wet signature for visa applications.
3- Learning Agreement (Must be completed and submitted electronically.)
The Learning Agreement is a document listing the names, codes, and ECTS credits of the courses the student will take at the host university during their studies. This agreement is signed by the department and institutional coordinators of both universities. Students make their course selections in contact with their own department coordinator and the coordinator of the department they will be attending. The total credit hours for courses taken in a semester must not be less than or more than 30 ECTS.
Before the student leaves for abroad, this agreement must be signed by the department and institutional coordinators of both universities. When submitting the document to our office for institutional coordinator signature, please ensure it is signed by your departmental coordinator.
Our office accepts photocopies/printouts of the signed agreement to save the student time; a wet signature is not required. However, considering that the host university may request the original document with a wet signature, it is recommended that the student prepare at least two copies of the agreement.
When filling out the learning agreement, do not fill in the tables. If you wish to print, disregard the footnotes (guidelines) section.
Course Changes: Since the learning agreement is an academic document, any changes must first be approved by the department coordinator. Therefore, if you are changing courses, you must amend the “during the mobility” section of the learning agreement and have it signed by the coordinator at your host institution and your coordinator at your university via email.
4- Academic Equivalency Certificate (Must be completed and submitted electronically.)
The Academic Equivalency Certificate, along with the Learning Agreement, will be prepared in three copies for each semester. It is important to ensure that the credit equivalents of the courses taken and the equivalent courses at our university are 30 ECTS for one semester.
The Academic Equivalency Certificate, after the relevant signatures and the board's decision, must be submitted to our office for signature before the start of the mobility period.
5- Visa/Foreign Language and Passport* Letter Form
Our office prepares a visa letter in Turkish/English to help Erasmus+ students obtain their visas more easily and smoothly. This document includes the duration of the student's studies at the host institution and, if applicable, the amount of the monthly grant. The student must have received an acceptance letter for this document to be prepared.
In addition to the visa letter, a document certifying the student's score on the Erasmus language exam will also be prepared upon request.
Students requesting these documents should fill out the attached request form and send it to our office via email or in person.
* Changes have been made to the fee-exempt passport procedures for students following the amendments to Law No. 492 on Fees. According to these regulations, students under the age of 25 will now be exempt from passport fees with their student documents without submitting a separate document (previously, this was done through our office). For more detailed information, please consult the relevant Population Registration Offices.
6- Student Contract (For All Students, with and without Grants)
The documents required for signing the contract are listed below. Due to current conditions, please send all documents via email. Contracts will be prepared and sent via email to students who submit all their documents completely. The student will sign and scan the agreement and send it via email.
- Acceptance letter,
- Visa and ID pages of the passport
- Departure ticket
- Signed learning agreement (Must include the signature of at least one party)
- Bank statement (Only for students with grants)
- Equivalency certificate (Submitting it to your department is sufficient)
- Current student certificate (E-government registration is acceptable)
